Templates control the retrieval and sequencing of data. You can create/customise as many templates as desired, thereby retrieving just the information you are looking for.
A/P enquiry templates can be created in two ways:
- Adding a new template through the Work with A/P enquiry templates menu item.
- Saving your entered selections as a template when working in the A/P enquiry programs. Click Save as template on any of the A/P transactions enquiry panels to prompt a pop-up window where you can directly save the selections and sequences that you are currently working with, either in a new or an existing template.
Once you have selected a template it will follow you through the different enquiry programs. The last template you used will be the one defaulted when you enter the enquiry the next time.
To create a new template according to the first option above, do as follows:
- Select the Work with A/P enquiry templates menu item.
- On the Work with A/P trans enquiry templates panel, click Add to create a new template.
- You access the first of three panels of the program. Complete the following fields:
- Template
- Enter a code that represents the template your are creating. Note: Once the template has been created, this field cannot be changed.
- Description
- Enter a description for the template.
- Supplier number
- Due date
- A/D
- Enter the code for ASCENDING for both sequences.
- Caution:
Scroll or click Next/Previous to toggle the selection and sequence panels. If you click Back, then you will return to the Enquiry program selection panel and your recent entries, those which are not saved in the template, are erased
Selection part 1 and 2
Enter the selection parameters you want to include in this template. Selection can be made via range selection or combined selection, depending on the parameter. Enter selections, for example, in the following fields:
Sequence
Scroll down to the sequence part of the Work with A/P trans enquiry templates panel, which is the third panel.
The sequence you define determines how the information is presented. Sequence 1 gives the primary sort order, sequence 2 sorts the information further within each selected parameter selected with sequence 1, and so on.
Enter sequence 1 for Supplier number and 2 for Due date.
Click OK. You can continue to enter new templates, change values for existing templates, or exit the routine.
Tip: Click Save as template on the A/P transactions enquiry panel to prompt a pop-up window where you can directly save the selections and sequences that you are currently working with, in a new or an existing template.
