Loading data in the ISO9002 routines

IBS Distribution supports ISO9002 (i.e. Material handling). This includes the selection of supplier to reception of goods and all handling of the item in between, e.g. packaging, transporting, etc.

There are no predefined standards within ISO9002. The monitoring of ISO9002 functions is both very loose and very strict. It is very loose in that you, as a company, define the information you are going to monitor. Once approved by the authorities and granted an ISO9002 certificate, the monitoring becomes very strict. That is to say, you must comply with the information you chose to monitor.

Note: The ISO9002 tables and files do not have to be loaded, but if you start, the system will react.

Example:
Both the Manner of transport table(MOT) and Handling/Hazard code table can be loaded, but nothing will happen until you load the MOT & Handling/Hazard exception table indicating that you cannot transport certain goods with a certain manner of transport.

The following tables and files have been created with ISO9002 in mind, but do not have to be loaded if not included in your list of user-defined standards for ISO9002 certification. Note: If loading information, the following order should be followed to avoid backtracking, as some tables hold codes from other tables. These tables and files include:

Table/File To do
Barcodes table This table is preloaded with 16 barcodes supported by the iSeries. Others can be added.
Handling/Hazard code table This table can be loaded with codes that define any special requirements needed in the handling of items during their storage and transportation. The codes are used in the following:

  • Item file
  • Handling/Hazard storage x-ref table
  • MOT & Handling/Hazard code exception table
  • Vehicle & Handling/Hazard exception table
Handl/Hazard storage x-ref table This table can be loaded with codes to cross reference items that are not allowed to be stored or transported together.
MOT & Handling/Hazard code exception table This table displays the codes that have been loaded in the Manner of transport table. Per code you can connect a Handling/Hazard code indicating that the item with this Handling/hazard code cannot be transported by this Manner of transport.
Vehicle table This table can be loaded with codes defining the handling criteria of the vehicle when transporting goods, e.g. minimum/maximum weight.

Note: If using this table for the Transport preparation routine, the following tables must have previously been loaded and recommended in the following order:

  • Warehouse table
  • Departure table
  • Destination table
  • Route table
  • Item shipment group table
Vehicle & Handl/Hazard code exception table This table displays the codes that have been loaded in the Vehicle table. Per code you can connect a Handling/hazard code indicating that this vehicle cannot transport the item with this Handling/hazard code.
Labelling code table This table can be loaded with codes identifying the types of labels used on item packaging. Two types of labels can be produced; those for internal use during the storage of goods while in stock and those for use on packages used during transportation from stock to customer.
Item conformity criteria table This table can be loaded with codes defining the conformity criteria that are used in the Item conformity group table to describe the exact details to which the items must conform.
Item conformity group table This table can be loaded with codes defining conformity groups for items; each group fully describing the total quality control and conformity requirements of items within it. The groups are subsequently used as a standard by which item non-conformity is measured. Per code you can connect an item conformity criteria code.
Non-conformity stock category table This table can be loaded with codes defining the categories into which non-conforming stock may be divided or segregated and if the stock is usable or not. This information can be used in the generation of bookkeeping transactions.
Non-conformity reason table This table can be loaded with codes defining the reason for the item not conforming and the person responsible for any action taken.
Package type table This table can be loaded with codes defining the types of packages. This information is used for ISO9002 purposes as well as in the Confirm sales order pick list program to report packaging.
DIS control file For ISO9002 purposes you can enter the Minimum overall supplier rating, Labelling code, Barcode and NCC retention period. You also have to define the number series to use for Non-conforming certificates.
Business partner file (Panel: Supplier quality control information file) For ISO9002 purposes you can enter the quality-related details including an Approved flag and Current overall quality rating.
Item file For ISO9002 purposes you can enter information in the following files/panels:

  • Extended description file
  • Extended supplier description file
  • Extended packaging and labelling file
  • Inventory information file (handling/hazard code, etc)
  • Supplier file (containing Approved and Current rating details as well as a quality approval flag, used independently from any of the above at purchase order line level for quality control).
  • Basic data panel: Conformity group
  • Units panel: Labelling code.
