- Select the Work with sales quotations menu item.
- On the main panel, click the Add option.
- You access Sales quotation maintenance. Enter the following mandatory information:
- Handler
- Quotation type
- Specify the type of quotation you are creating. Enter 1 to indicate that the quotation will become an order or 2 to indicate that the quotation will become a contract.
- Customer number
- Expiry date
- Note: If you set the Quotation type field to 2, (this will allow the quotation to be copied to a contract) you must also establish the duration of the contract by entering the start and end date in the fields below.
- From date
- To date
- You access the Work with sales quotation lines panel. Complete the following mandatory fields:
- Whs
- By default, the warehouse code that is attributed to the customer on the Business partner file/Customer file panel will automatically be retrieved to this field. Change this value if it differs from the warehouse in which the item is located.
- Item
- Enter an item code.
- Quantity
- Enter the quantity to quote, per sales unit.
- Unit
- If you leave the field blank, the system retrieves the default sales unit from the Item file. Each item being sold can have its own unique sales unit aided by a conversion field for converting the item’s stocked and sales unit.
- Disp dat
- The dispatch date denotes when the goods will be delivered to the customer.
- Price
- You can manually enter a price that will override any other price limit defined in the Item file. This will be the price for the quotation line. If you leave the field blank, the system searches for the valid price. (See About working with pricing on a sales order and View sales pricing information for more information).
- To exit the Text Editor without making any changes: Click Back twice to return to the Work with sales quotation lines panel.
- If you have added text to the quotation line: Click OK to return to the Work with sales quotation lines, Line details panel. Click Back to return to the Work with sales quotation lines panel.
- To exit the Text Editor without making any changes: Click Back twice to return to the Work with sales quotation lines panel.
- If you have added text to the quotation line: Click OK to return to the Work with sales quotation lines, Line details panel. Click Back to return to the Work with sales quotation lines panel.
Click OK.
The system automatically defaults the records for the following fields:
Click OK to update the quotation line.
Note: If errors are found the system prompts the Work with sales quotation lines, Line details panel, highlights the errors and displays a message. (See step 3 in Change sales a quotation.)
Add more lines
To add more lines you can repeat the same procedures as above or enter 12 in the Type field, along with the Item and Quantity for the quotation line you are adding, and click OK. The system prompts the Work with sales quotation lines, Line details panel. Click OK again to update the new quotation line on the Work with sales quotation lines panel.
Add text
Text lines can be defined for both individual lines and for the whole order. In IBS Enterprise a general text editor is used in most programs where text can be entered. For detailed information about the Text Editor, see About working with texts in the Text Editor.
Add text to a quotation line
Select the quotation line to access the Work with sales quotation lines, Line details panel. Click the Text function key. You access the Sales quotation line, Edit text panel.
Add text to the quotation header
If you do not want to limit the text to only the quotation item line then you have the option to connect it to the entire quotation: Click Header to access the Quotation header panel. Click the Text function key. You access the Sales quotation header, Edit text panel.
To exit the quotation, click Back from the Work with sales quotation lines panel.
